DD Cancellation Letter Format and Sample

A DD cancellation letter is a written request to the bank branch that issued a demand draft, asking it to cancel the draft and process any refund due. Include the draft number, date, amount, payee name, your contact details, and the original draft if you have it; use the format below and confirm the branch’s requirements before submitting it.

What a DD Cancellation Letter Is For

In this context, DD means demand draft: a payment instrument issued by a bank after the purchaser pays the amount to the bank. A cancellation letter tells the issuing bank that the draft is no longer needed and asks it to cancel it. It is not the same as a letter asking the bank to cancel a cheque or close an account.

People commonly request cancellation when a transaction is called off, the payee’s details need correction, the amount or other information is wrong, or a replacement draft is required. A letter is a clear written record of the request, but it does not by itself guarantee cancellation or a full refund. The bank must verify the draft’s status and follow its own process.

Contact the bank that issued the DD rather than assuming any branch can process the request. If the draft has already been paid, it generally cannot be cancelled as an unpaid instrument. If you are unsure whether it has been presented, ask the issuing bank to check its status before making plans around a refund.

Details to Include in the Letter

Make the request specific enough for the bank to identify the exact instrument. A vague request such as “please cancel my DD” can lead to follow-up questions, especially if you have more than one draft or the copy of the instrument is unavailable.

  • Your details: Full name, postal address, phone number, and email address if you use one for bank correspondence.
  • Draft details: DD number, issue date, amount, payee or beneficiary name, and issuing branch. Copy these carefully from the instrument or purchase receipt.
  • The request: State plainly that you are asking the bank to cancel the draft. A brief reason is useful, though the bank may not require one.
  • Refund instructions: Ask how any eligible refund will be returned. If you want it credited to an account, provide the account information only in the manner the bank requests.
  • Enclosures and signature: List the original DD and any supporting documents you are including, then sign the letter as required by the bank.

Use the purchaser’s name and signature where possible. If another person is making the request, the bank may ask for proof that the person is authorized to act for the purchaser. Requirements can differ according to the bank, how the draft was purchased, and whether it is still in the purchaser’s possession.

How to Submit the Request

Before sending the letter, check the issuing bank’s current instructions. Some branches accept a signed request at the counter; others may specify a form, identity check, or additional documents. Do not assume that email, a phone call, or a letter sent to a different branch is enough to complete the cancellation.

  1. Check the DD number, date, amount, and payee against the original instrument or receipt.
  2. Ask the issuing branch what it requires for cancellation, including whether the original DD must be returned.
  3. Complete and sign the letter, and attach the documents the bank has requested.
  4. Submit it through the stated channel and keep a copy of the letter and any acknowledgement or reference number.
  5. Follow up with the branch if you do not receive confirmation or need an update on the refund.

If you hand over the original DD, ask for an acknowledgement that identifies the instrument or records the request. If you post documents, use a delivery method that gives you a record of dispatch and delivery. Keep the purchase receipt and correspondence until the bank confirms the outcome.

Refunds, Processing Time, and Charges

Cancellation and refund are related but separate steps. The bank first needs to establish that the DD is eligible for cancellation and has not already been paid or otherwise dealt with. If cancellation is allowed, the amount may be returned through a process set by the issuing bank. The method can depend on how the draft was purchased and the bank’s procedures, so ask whether the refund will be credited, paid by another method, or require further paperwork.

A cancellation fee or other deduction may apply. Fees and processing times are not universal, and they can change; do not rely on an amount or timeframe quoted for another bank or another customer. Ask the branch what charges apply to your particular request and whether it can provide an estimated processing period. The refund may not be the full face value if the bank applies a permitted charge.

Keep a record of what the branch tells you, including any reference number, expected next step, or documents still needed. If the refund is delayed, contact the issuing branch with the DD number and acknowledgement details. Avoid sending sensitive account information in an unverified message; use the bank’s stated secure process.

If the Original DD Is Lost or Stolen

If you cannot return the original because it is lost or stolen, do not state that it is enclosed. Contact the issuing bank promptly and explain that you need to report the DD missing and ask what process applies. A letter requesting cancellation may still be useful, but a missing instrument can require additional safeguards before the bank acts.

The bank may ask for a written declaration, identity documents, proof of purchase, an indemnity, or other paperwork. These are examples of possible requirements, not a universal checklist. The exact documents depend on the issuing bank and circumstances. Ask whether the bank can record the draft as reported missing and what it needs to assess the request. Do not assume that reporting it lost instantly prevents payment.

If the draft may have been stolen or its details could be misused, explain that clearly to the branch and ask for the appropriate next steps. Keep copies of your report and all bank communications. For a situation with significant disputed rights or obligations, ask a qualified professional for advice.

Common Mistakes That Delay Cancellation

Small inconsistencies can make it harder for the bank to match a letter to its records. Review the request before submitting it, especially when the DD was purchased for someone else or the payee’s name is unfamiliar to the branch.

  • Leaving out the DD number: The amount alone may not identify the instrument. Include the number and issue date whenever available.
  • Writing the payee name from memory: Use the spelling printed on the draft, even if it contains an apparent error. Explain any correction separately.
  • Requesting cancellation after delivery without checking status: Ask whether the draft has been presented, and coordinate with the payee if they still hold it.
  • Not returning the original when required: Find out first whether the bank needs the paper instrument. If it is missing, disclose that instead of implying it is enclosed.
  • Expecting an automatic full refund: Ask about eligibility, charges, and refund method rather than treating the letter as confirmation.
  • Providing incomplete contact information: Include a reliable way for the branch to ask questions or notify you of the decision.

What If the DD Was Given to the Payee?

If you have already handed the draft to the beneficiary, contact that person or organization and ask whether the DD has been deposited or presented. The purchaser may not have the original to return, and the bank may require additional action or consent depending on the status and its rules. A cancellation request from the purchaser should not be treated as a substitute for communicating with the payee.

Where the draft is still unpaid, ask the issuing bank what steps it will accept and whether the payee must return the instrument or provide confirmation. If the payee has already submitted it and payment is being processed, the bank may not be able to cancel it. The answer depends on the instrument’s status and applicable bank procedure, so get confirmation from the issuing branch rather than relying on assumptions.

Frequently Asked Questions

Can I cancel a DD without the original draft?
Possibly, but the process is usually different when the original is missing. Contact the issuing branch, disclose that it is lost or unavailable, and ask what declaration or supporting documents it requires.

Can I cancel a DD after it has been issued?
You can ask the issuing bank to cancel it, but approval and refund depend on the draft’s status and bank procedure. If it has already been paid, it generally cannot be cancelled as an unpaid draft.

Who should sign the DD cancellation letter?
Usually the purchaser or the person the bank recognizes as authorized to request cancellation should sign. Confirm the branch’s requirements if the draft was bought for another person, by an organization, or through an authorized representative.

Will I get the full DD amount back?
Not necessarily. A bank may apply a cancellation charge, and the refund process can depend on how the draft was purchased. Ask the issuing branch about the amount and method before assuming the full face value will be returned.

Can I send the cancellation request by email?
That depends on the issuing bank. It may require an original signed letter, the original DD, identity verification, or a specific form. Ask the branch which submission channels it accepts for your case.

What should I do if the payee has the DD?
Ask the payee whether it has been presented and contact the issuing bank with that information. The bank will tell you what it needs to consider cancellation; do not assume you can cancel the instrument without addressing the original draft’s location and status.
