UAE Offer Letter Template: What to Include

A UAE offer letter sets out the main terms of a proposed job, such as the role, pay, location and expected start date. Use the blank template below as a starting point, then check that its terms match the formal employment contract and the rules that apply to your employer’s jurisdiction.

What a UAE Offer Letter Does

An offer letter is a written summary of the employer’s offer and the conditions attached to it. It helps the candidate understand what is being proposed before accepting and gives both sides a record of important points discussed during recruitment. It is not a universal government form, and employers may use different layouts.

In the UAE, the hiring process may involve a private-sector employer registered with the Ministry of Human Resources and Emiratisation (MOHRE), or an employer in a jurisdiction with its own employment framework, such as the Dubai International Financial Centre or Abu Dhabi Global Market. Many free-zone employers also follow a separate administrative process. The correct route depends on where the employer is registered, not simply where the employee will sit or live.

An offer letter can be relevant evidence of the terms the parties discussed or accepted, but it should not automatically be treated as a substitute for the formal employment contract. The contract and any required approval or registration process matter. If there is a conflict between documents, do not assume that the more informal letter controls; ask the employer to explain and correct the paperwork before proceeding.

How the Offer Relates to the Employment Contract

For many mainland private-sector hires, the employer obtains the necessary work authorisation and completes the required employment-contract process through MOHRE. The candidate may receive and accept an offer before the final contract is issued. The contract should reflect the agreed job terms, and the official process may require prescribed forms or information. Other jurisdictions can have different contract and registration procedures.

Acceptance of an offer does not itself give someone permission to work in the UAE. A person should not begin work until the required work authorisation and other applicable steps are in place. The employer should explain what documents are needed, who will arrange the process, and whether any condition—such as a visa, reference or qualification check—must be satisfied before the start date.

Compare the offer and contract line by line. If the offer says one role, salary or work location and the contract says another, request a corrected document or written clarification rather than relying on a verbal assurance. Keep copies of the offer, acceptance, contract and any written amendments.

Terms to Put in Writing

A useful offer letter is specific enough to prevent misunderstandings while leaving detailed legal terms to the formal contract where appropriate. Include the following information where it applies:

  • Employer and candidate: legal employer name, candidate’s full name and a contact for questions.
  • Job: position title, a brief description of duties, department and reporting line.
  • Work arrangement: primary workplace, any agreed remote or hybrid arrangement, and whether travel is expected.
  • Dates: offer date, proposed start date and, if relevant, conditions that must be met before starting.
  • Pay: total wage and a clear breakdown of basic wage and allowances. State the currency and pay frequency. Avoid using “salary” without explaining what the figure includes.
  • Benefits: any promised housing, transport, insurance, annual ticket or other benefit, with the conditions or limits made clear.
  • Working arrangements: normal schedule, rest days and any shift expectations, subject to applicable rules and the formal contract.
  • Trial and notice terms: whether probation applies and where the formal contract will state the relevant notice conditions.
  • Acceptance: how and by when the candidate should accept, plus signature lines for both parties.

Do not include a benefit merely because it is common in a particular industry. If it has not been agreed, leave it out or describe it as subject to a separate written policy. If a term is conditional, say what the condition is—for example, “subject to completion of the required work-authorisation process”—rather than leaving the candidate to guess.

How to Review and Accept an Offer

Read the full document before signing, including any attachment or policy it refers to. A practical review can follow these steps:

  1. Confirm the legal name of the entity that will employ and pay you. A brand or trading name may differ from the registered employer.
  2. Check that the job title, duties, location and reporting line match what you discussed.
  3. Ask for a clear breakdown of basic wage and allowances, and confirm whether stated benefits are guaranteed or conditional.
  4. Compare the proposed terms with the formal contract when it arrives. Ask for inconsistencies to be corrected in writing.
  5. Confirm the intended start date and what must happen first, including any required authorisation or onboarding steps.
  6. Keep a dated copy of the signed offer and the employer’s response to any questions or changes.

If you negotiate a change, ask for the revised offer or an authorised written amendment. A message saying that a benefit is “understood” may be less clear than a document stating its amount, eligibility and timing. Avoid signing a document with blank material terms that could later be completed differently.

Important UAE Employment Context

UAE employment requirements depend on the employer’s jurisdiction and the worker’s category. Federal private-sector rules do not apply identically to every employment relationship; government roles, domestic work and employment in certain financial free zones may be governed by different legislation or procedures. A free-zone location alone does not tell you every rule that applies, so ask the employer which authority handles the contract and work permit.

For many private-sector employees covered by the federal labour law, employment contracts are for a fixed term, and probation cannot exceed six months. Probation-period termination and resignation have specific notice requirements that differ from ordinary notice after probation. The general notice period after probation is agreed in the contract within the legal range, commonly 30 to 90 days. Do not rely on a short offer-letter summary for a complete explanation of these provisions; check the formal contract and the rules for the relevant jurisdiction.

Working hours, leave, overtime, insurance and end-of-service entitlements can also depend on the applicable law, the worker’s category and the contract. An offer letter should not imply that a benefit replaces a legal entitlement. If the document describes an unusual deduction, repayment, restriction or penalty, get an explanation and the relevant written terms before accepting. For a situation requiring legal advice, ask a qualified professional.

Common Problems and Misunderstandings

  • “The offer letter is the visa.” It is not work authorisation. The employer must follow the applicable permit and onboarding process before the person starts work.
  • One salary figure hides the pay structure. Ask which part is basic wage and which part consists of allowances. The distinction can matter when contract terms or statutory calculations refer to basic wage.
  • A verbal promise is missing from the paperwork. Request a corrected offer or written confirmation that identifies the specific benefit and its conditions.
  • The employer name does not match. Ask why the offer, contract and payment entity differ, and confirm which legal entity is responsible for employment.
  • The start date is treated as final before approvals. Clarify whether it is tentative and what conditions must be completed first.
  • The offer and contract conflict. Do not assume the conflict will resolve itself. Ask the employer to align the documents before signing the contract or starting work.

A related misconception is that every UAE offer letter must use one identical template. Employers may prepare their own offer documents, while the later employment contract and administrative process may use forms or requirements specific to the relevant authority. A template is a drafting aid, not proof that all mandatory steps have been completed.

Short Filled-In Sample

Sample only — all names and details below are fictional. A concise offer might say: “Cedar Lantern Trading LLC offers Lina Noor the position of Inventory Coordinator in Sharjah, with a proposed start date of 15 September 2026, subject to completion of required work-authorisation steps. Monthly pay is AED 8,000, comprising AED 5,000 basic wage and AED 3,000 allowances. The formal employment contract will state the applicable working arrangements, probation and notice terms.” This example shows how to make key terms visible; it does not confirm that the terms suit a particular job or legal arrangement.

Frequently Asked Questions

Is a UAE offer letter legally binding?
An accepted offer may be evidence of agreed terms, but its effect depends on its wording, the circumstances and the applicable law. It is not a replacement for the required employment contract or work authorisation. Have conflicting or unclear terms resolved in writing.

Can I start work with only an offer letter?
No. An offer letter alone does not grant permission to work. Wait until the employer confirms that the applicable work authorisation and required employment steps are complete.

Should the offer letter show basic salary and allowances separately?
Yes, a clear breakdown is useful. It helps both sides understand the wage structure and compare the offer with the formal contract. Confirm which benefits are part of the wage and which are separate benefits.

What if the employment contract differs from the offer?
Ask the employer to explain the difference and provide corrected documents or a clear written amendment before signing. Keep copies of both versions and do not rely solely on a verbal promise.

Does every UAE company use the same offer-letter form?
No. Employers can use different layouts. The relevant contract, permit and registration steps depend on the employer’s jurisdiction and the worker’s category, so confirm which authority’s process applies.
